Everything you need to know about entering

How do I enter?
The Commercial Motor Awards will open for entries on 18 March 2020. Entry is free and you can enter as many categories as you like just make sure that you tailor each entry to the criteria. Please ensure that you have also read and understood the terms and conditions for entering. Please send in your electronic entry form with your PDF submission through the website before the deadline of 17:00 on 17 July 2020.

Who can enter the awards?
The awards are open to businesses across the road transport sector for commercial vehicles. This includes dealerships, finance providers, auction houses, body builders and breakdown and recovery operators.

When is the entry deadline?
The website will close for entries at 17:00 on 17 July 2020.

How much does it cost to enter?
Nothing! Entering the awards is absolutely free.

Where do I find the entry criteria for each category?
The criteria for each of the categories above can be found on our enter the awards page

What should I include in my written entry?
Entries must cover all points of the outlined criteria for the relevant award.

Entries should be no more than 1000 words.

All entries should be uploaded as PDF documents using our online entry system. 

If you are providing video, these files should not be uploaded but hosted and links provided (e.g. hosted on a company website; vimeo; YouTube.)

A high-resolution version of your company logo and supporting photo depicting the business, dealership, person or team should be uploaded as part of the submission. These images will be used in the awards presentation if you are a finalist this year.

What is the word count?
Maximum of 1000 words for an entry. Any appendices should be submitted as additional supporting material. 

What do I put in the image upload section?
A high-resolution version of your company logo and supporting photo depicting the business, dealership, person or team should be uploaded as part of the submission. These images will be used in the awards presentation if you are a finalist this year.

How do I add multiple files to my entry?
You will need to collate all of the documents, photos or PDFs you wish to enter into one folder and convert this to a .zip file.

You can do so by right clicking on the relevant folder, going down on the menu to the “Send to” option and then click Compressed (zipped folder).

The maximum file size we can accept is 5MB per file and 40MB per folder. To reduce the folder size you may wish to convert individual documents within a folder to PDF if appropriate.

If I start an entry, can I go back to it at a later date?
Yes, please press the “Save for Later” button which will then move your incomplete entry into your “Saved Items”. When you are ready to submit you can log back in, go to your saved items tab to make any necessary changes before selecting the “Move to Basket” button which will allow you to complete your transaction.

Can I edit my entry after I have submitted it?
If you log back in your entry will be held under the Awards > Nominations section. You will then be able to select the “edit” button and make necessary changes. Please be sure to press save.

After 17:00 on 17 July 2020 no further changes can be made.

Do I have to book my table and submit my entry at the same time?
No, you can submit your entry and book your table either separately or together.

How will my entry be judged?
Entries will be judged by a distinguished panel of experts drawn from the road transport industry selected by Commercial Motor.

Decisions of the judges will be final. No correspondence will be entered into. If an entry is deemed more appropriate for another category, Commercial Motor Awards reserve the right to move this without notifying the entrant in advance.

I have sensitive information in my entry, how will it be used?
We ask all of our judges to sign a confidentiality agreement before we allow them to begin the judging process and review any entries.

Any confidential or sensitive information included in your entry must be clearly marked.

Winners of the awards will have an overview of their entry published in Commercial Motor. Any information that shouldn’t be included should be clearly marked within your entry.

When will I find out if my company has been shortlisted?
The events team will contact all entrants (regardless of whether they have been shortlisted or not) by 3 September 2020. The shortlist will be published on 3 September 2020 in Commercial Motor and on this website.

When will I find out if my company has won?
The announcement of the winners will be made at the Commercial Motor Awards Ceremony on 26 November 2020 at the Vox Centre, Birmingham.

When and where is the awards ceremony?
Thursday 26 November 2020 at The Vox Centre, Resorts World, Birmingham.

What is the dress code?
Lounge suits and cocktail dresses.

What are the timings for the evening?

When will I receive my invitations?
As long as payment for your table(s) has been received in cleared funds, your e-invitations will be sent to you three weeks before the event.

Who do I notify if one of my guests has special dietary requirements?
You will be able to add this information via the website up until 5 November 2020, by logging in and adding the information to your guest list. If you have been informed after the 5 November of a guest's dietary requirement please email it to

How do I order drinks for my table?
A drinks order form will be sent to you approximately a month before the event, where you will be able to purchase drinks for your table.

How do I buy tickets for the dinner?
You can purchase tickets on our website by selecting the '
book a table' tab.

Will there be filming and photography at your events?

Photographs and video will be taken at this event.

By taking part in this event you grant the event organisers full rights to use the images resulting from the photography/video filming, and any reproductions or adaptations of the images for visual presentation or social media or marketing purposes relating to the event or future events organised by DVV Media International Ltd.

By entering the event premises, you waive all rights you may have to any claims for payment or royalties in connection with any use of these materials.

What is your cancellation policy?
Cancellations must be made in writing to the registration contact at the address below.

If you cancel on or before 6 June 2020 we will refund your booking fee less an administrative charge of 15%.

If you cancel after 6 June 2020 but before 3 September 2020 we will refund your booking fee less an administrative charge of 15% plus a cancellation fee of 50%.

If you cancel after 3 September 2020 no refund will be given.

Please note this also applies in the case that payment has not yet been received when full payment of your booking would be required.

If we cancel the function we will refund all booking fees paid. We do not, however, accept liability for travelling, accommodation or any other expenses incurred as a result of any cancellation or postponement of the event.

Our liability for loss or damage incurred as the result of cancellation or postponement of the event is limited to the amount of your booking fee.

These terms and conditions are governed by English law and the courts of England and Wales will have exclusive jurisdiction over any dispute.
